Office Assistance

Description:The Office Assistant will provide comprehensive administrative support to the Tribal Administration office. Along with perform a variety of duties such as, greeting visitors, answering telephones, process higher education, making travel arrangements and various clerical tasks related to Tribal office business.

This position is an operational support person responsible for maintaining document workflow and providing administrative support to Tribal office staff. The Office Assistant will handle report coordinating, Council support, word processing of technical documents and acquisitions.

Duties:Although other duties may be assigned, the essential duties include the following:

Screen and direct incoming phone calls and/or take accurate messages.
Greet visitors and Tribal Members and assist them with their request.
Assist with compiling agenda and back up attachments for weekly Tribal Council Meetings.
Assist with inventory of supplies and equipment.
Ability to assist the public and staff inquires with customer service.
Regularly file, arrange, monitor and evaluate paperwork and computerized operations.
Type and proofread a variety of materials and type a variety of correspondences.
Process incoming and outgoing mail.
Assist with various duties that may be assigned
Prepares work to be accomplished by sorting incoming documents.
Forwards information by verifying document identification, distributes incoming
documents, collects and mails outgoing documents. Word processing of Tribal documents
Provides information by answering questions and requests.
Back-up support to Office Manager.
Coordinate travel arrangements
Help with tribal members Tribal Identifications and bank verifications.
Make travel and seminar arrangements.
Will communicate with staff to maximize service and efficiency.
Ability to assist the public and staff inquires with customer service.
Regularly file, arrange, monitor and evaluate paperwork and computerized
operations.
Type a variety of correspondences and distribute
Develop and maintain schedules for phone coverage
Handle all incoming/out coming parcels (i.e. UPS and Federal Express).
Various office duties including but not limited to submitting logos to various sponsorships, maintain vehicle files, prepare council agenda when needed, and assist Tribal Administration staff .
Limo and Charter Bus scheduling. Set up drivers, maintenance, and usage and invoicing.
Maintain Tribal Tuition Match, Tutoring, Youth Activity Fees, and Higher Education files. Submit requests, issue check requests and verify eligibility.
Help coordinate and distribute Tribal Health Insurance.
Maintain Tribal Member files for changes of address, per cap deductions,
Qualifications:EDUCATION

High School Diploma or equivalency


EXPERIENCE

1-2 years office experience operating standard office equipment and a solid knowledge of standard office practices and procedures.

QUALIFICATIONS

Deal with difficult situations with maturity at all times
Handle high volumes telephone with an excellent phone etiquette
Able to multi-task and work with standard office equipment
Ability to handle highly confidential materials
Computer literate in MS Word and Excel.
Ability to work in a fast paced environment.
Must be neat in appearance with a customer service attitude
Ability to complete delegated work assignments
Effective written and oral communication skills
Provide superior customer service skills
Able to work independently with minimal supervision
Able to organize workload in order to meet deadlines
Accounting Experience



REQUIRED

A current California Drivers License
Social Security Identification
